The Department of Government Services (DGS) was established on 1 January 2023 to improve everyone's experience of doing business and interacting with the Victorian government. We bring important day-to-day services together in one department to make things easy and seamless for Victorians and businesses. We are doing this by connecting and digitising our systems and platforms across state and local government as well as streamlining our corporate and procurement services.
**About the role**
The Program Officer is an integral member of the WoVG Grants Centre team providing centralised program delivery for grant programs and initiatives that drive policy outcomes across the Victorian Government and for all Victorians.
The Program Officer works closely with Program Coordinators, Senior Managers and key internal and external stakeholders to undertake timely operational activities to ensure successful delivery of grant program outcomes.
This role requires an excellent working knowledge of grant administration, well developed planning and organising skills as well as excellent interpersonal skills to be able to provide good customer service and administrative support to a range of internal and external stakeholders.
There are multiple fixed term roles available for a period of 2 years.
**Key accountabilities include**
- Contribute to the development and delivery of grant programs and initiatives administered by the Grants Centre from initiation to delivery. This includes undertaking specialist administrative and operational functions under limited direction, scheduling and tracking of program delivery activities, and responding to stakeholder and/or customer enquiries with a high level of professionalism and customer service.
- Prepare, understand and analyse data and reports to inform and support program management activity.
- Develop process documentation for new programs (e.g. standard operating procedures) and identify and action further opportunities for process improvement and standardisation across grant programs.
- Contribute to the preparation and maintenance of high-quality reports, briefs and correspondence on a range of program matters to senior management, executives, the Minister, and relevant
**About you**
To be considered for the role, you must be able to demonstrate:
- Program delivery: Well-developed program management skills including the ability to prioritise and deliver multiple tasks to a high standard with a flexible and agile approach. Defines tasks to be delivered to meet agreed outcomes; coordinates and guides others in the execution of work activities; monitors progress of tasks against plans and takes corrective action when required.
- Communication and stakeholder management: Effective communication skills (written and verbal) including the ability to contribute to the preparation of quality and timely briefings, reports, and correspondence and convey specialist concepts, policies and information confidently to meet the needs of the audience and obtain the desired response. Establishes and maintains effective working relationships within own team and across the Grants Centre and Department.
- Analytical skills: A problem solver who can think outside the square to proactively identify, analyse / diagnose and resolve or escalate issues quickly and effectively. Experience in reporting, tracking trends, analysing and extracting information from data to support program management and decision making.
- Organisation: Demonstrated ability to effectively plan, coordinate and manage work activities independently and/or as part of a team with mínimal supervision and direction. Able to identify resource requirements and make recommendations to immediate manager or Program Lead to meet service delivery priorities.
- Teamwork: Strong interpersonal skills including the ability to work collaboratively and motivate others to contribute to a positive team culture. Shares information and contributes expertise to a team working on complex programs/projects. Accommodates and works well with the different working styles of others as part of a team to effectively plan, coordinate and manage work activities with a wide range of internal and external stakeholders in a fast-paced matrix environment.
- Innovation and continuous improvement: Takes a proactive approach to identifying and escalating issues or opportunities for continuous improvement by monitoring performance and offering suggestions and ideas for improvement; leverages existing continuous improvement systems and procedures to improve outcomes, quality and efficiency of work; creates space for learning and innovation by seeking input and feedback from others.
