This role is in the DroneShield Sydney headquarters in Pyrmont, Sydney. There are approximately 300 staff based in the 4,000sqm facility today, scheduled to grow to approximately 400 staff by end of 2025. Overseas on the ground presence includes USA, Denmark, Mexico, and UAE, as well as distributors in over 70 countries globally.
**About the role**
DroneShield is seeking a proactive and skilled Personnel Administrator to support the Talent Acquisition, Legal and Payroll teams in a dynamic, fast-growing environment. You will play a crucial role in ensuring smooth people operations. The role will not have direct reports and will report to the General Counsel & Joint Company Secretary. This is a full-time non-remote role.
**Responsibilities, Duties and Expectations**
- Draft and prepare employment contracts, offer letters, and other employment-related documentation.
- Set up new employee accounts.
- Conduct background, work rights and reference checks
- Manage external partnerships for visa sponsorships.
- Lead the onboarding process for new hires, ensuring a smooth and engaging experience.
- Maintain accurate and up-to-date employee records in internal systems, ensuring data integrity and compliance with legal standards.
- Assist with regular audits of employee information and ensure all necessary documentation is securely filed.
- Update policies and procedures based on business needs and communicate those updates to employees, ensuring employees are well-informed.
- Ensure compliance with internal policies and external employment regulations, helping to maintain a legally compliant employment environment.
- Coordinate and support employee title changes, including updating internal systems and documentation.
- Organise and administer employee engagement surveys and collect actionable feedback.
- Manage the logistics and coordination of performance review cycles, including system setup, reminders, and tracking completion.
**Qualifications, Experience and Skills**
- Bachelor’s degree in Business Operations and Administration or a related field.
- Minimum of 1 year of administrative experience, ideally in a technology or scale up environment.
- Strong knowledge of employment laws and regulations.
- Excellent communication, negotiation, and interpersonal skills.
- Ability to work independently, manage multiple priorities, and drive results in a fast-paced environment.
