Ambulance Victoria's (AV) mission is to improve the health of our community by delivering innovative, high quality ambulance services. An opportunity has become available for a Director Complex Care in AV's Complex Care Department.
AV is seeking an experienced Executive Assistant to provide administrative support for our Chief Operations Officer (COO).
ABOUT THE ROLE
Reporting to the COO, the Executive Assistant provides superior executive support services including diary oversight and preparation of high-quality documents, reports, letters, briefings and related material as required.
This is a full time, permanent position currently based in our Doncaster Office.
The responsibilities of this position will include, but are not limited to:
- Support the COO through direction of workflows across operations and corporate areas and the provision of timely information and forward planning
- Support the effective running of the Operations Executive Committee (OEC), including setting the agenda, compiling and circulating papers, taking actions and decisions and initiating or directing action to give practical effect to decisions
- Prepare correspondence, meeting briefs, reports and other documents for the COO
- Provide accurate and timely briefing papers, charters, minutes/actions and other administration to the COO
- Monitoring and coordination of the budget (including requisitions and purchase orders in line with financial delegations)
- Work in collaboration with the wider Executive Assistant/Administrative Support teams in Operations and across AV to ensure consistency of standards and practice aligned with AV's Strategy and Values
ABOUT YOU
- Extensive experience providing business and executive support services at a senior executive management level
- Experience developing and sustaining strong, effective working relationships and networks with senior decision makers, key external stakeholders and relevant external organisations
- Excellent communication, analytical and business writing skills
- Demonstrated experience in managing business support documentation and registers and coordinating reporting and developing and maintaining support systems and processes
- Experience working autonomously with mínimal supervision, in a complex organisation with multiple stakeholders.
- Understanding and experience in regulatory, Government and public sector environments

Successful applicants need to provide evidence of having received the mandated COVID-19 vaccinations and be willing to complete pre-employment screening including a Police Check.
This position is graded an AV4 for which the salary range is $95,695 - $119,761 pa plus 10.5% superannuation. The expectation is that employees will commence at the base of the grade.
