The Children’s Psychology Clinic is a well-established private practice with two locations — North Parramatta and Crows Nest. We also operate thriving adult-focused clinics under the names Northern Sydney Psychology Clinic and Western Sydney Psychology Practice. Our team is known for clinical excellence, compassion, and professionalism, offering both therapy and psychological assessments to children, adolescents, and adults.
We are a unique, values-driven team of psychologists, counsellors, and psychotherapists who work collaboratively to support the mental health of our clients and each other.
**About the Role**
We are currently seeking an experienced and highly organised **Practice Manager** to lead and support the administrative and operational functions of our North Parramatta clinic.
This is a **casual role** with a requirement of **at least 2 days per week**, with the potential to increase based on mutual fit and practice needs.
**Key Responsibilities**
- Manage day-to-day operations of the practice, ensuring a smooth and efficient client experience
- Lead and support the administrative team, including onboarding and training new staff
- Manage the intake process and waitlist in collaboration with clinicians
- Oversee appointment scheduling, invoicing, Medicare claiming, and payment reconciliation
- Ensure the practice remains compliant with privacy, data security, and COVID-19 guidelines
- Maintain clinical software systems and troubleshoot administrative workflows
- Act as a point of contact for staff, clients, and external providers
- Monitor and manage supplies, equipment, and service contracts
**About You**
We are seeking a **mature, proactive, and compassionate leader** who has substantial experience in medical or allied health administration, preferably within a psychology or mental health setting.
**Essential Criteria**
- Minimum of **5 years’ experience** in a similar medical or allied health reception/administration role
- Previous leadership or management experience highly regarded
- Exceptional communication and interpersonal skills — warm, empathetic, and professional
- Ability to multitask and work independently in a fast-paced environment
- Strong organisational skills and attention to detail
- Proficiency in Microsoft Office (Word and Excel) and practice management software
- Familiarity with Medicare billing and psychology services administration
- High level of confidentiality and ethical standards
