**About the Role**
We are currently looking to expand our team and hire a qualified and skilled Receptionist to join our Alexandria Team. This role is responsible for providing excellent customer service to all internal and external patients/visitors, both on a face-to-face basis as well as over the telephone. In addition, the position completes all relevant administrative tasks to ensure a smooth-running office.

**Responsibilities**
- Create a positive first impression for all patients, visitors and staff of the clinic both face to face and over the phone;
- Assisting visitors in ensuring they are provided with refreshments when required and directed to the appropriate person within the clinic;
- Administrative support to the site team including but not limited to; making client appointments, greeting clients, collecting client personal data and relevant insurance information, as well as general Administration duties including processing over the counter purchases;
- Provide accurate quotations for reporting as well as organising the correct invoice to be sent/payment to be collected;
- Managing and coordinating the clinic schedule including no-show, cancellation, rebook etc. This also includes assisting clinicians with external clinics including but not limited to confirm bookings, preparing paperwork or items to be taken etc;
- Keeping the reception, consulting room, fitting room, cast room and gym area clean, presentable, and well stocked;
- Organizing lunch daily and event catering when required;
- Ordering and receiving stock and general supplies for the clinic;
- Performing weekly inventory of kitchen, facilities, workshop etc. and replenishing as required;
- Promoting positive communication between the admin team and other teams to promote a positive office environment;
- Ensuring that all behaviour is in line with the company’s values, Code of Conduct and other relevant policies.
**Qualifications and Experience**
- Previous experience in reception or customer service;
- Ability to build outstanding rapport with a variety of clients;
- A love of dealing with people and passion for helping people;
- Experience with purchasing/inventory would be advantageous;
- Strong communication skill both written and verbal;
- Excellent time management and prioritising skills;
- Attention to detail, reliable, punctual and flexible;
- A team player who has a CAN DO attitude but able to work independently;
- Strong customer service skills and ability to empathise and remain compassionate in busy and varied role and situations.The Reception & Administration Assistant is responsible for providing excellent customer service to all external and internal clients/visitors, both on a face to face basis as well as over the telephone. Roles and Responsibilities
- Creating a positive first impression for all clients/visitors of the Centre on a face to face and over the phone basis, assisting visitors in ensuring they are greeted appropriately, provided with refreshments when required and directed to the appropriate person within the centre;
- Provide accurate quotations for reporting.
- Send reports and quotations to funding bodies.
- Providing administrative support to the site team including but not limited to; making client appointments, greeting clients, collecting client personal data and relevant insurance information, organising the correct invoice to be sent/payment to be collected;
- Ensure all relevant paperwork is ready for clinic attendance by prosthetists.
- Confirm client appointments for clinics.
- Ensuring that all enquiries from clients/visitors are attended to in a timely manner;
- Going to the post office and bank daily or as required;
- Sorting all incoming mail to the centre (via the post or electronic communication) and responding where needed in an appropriate timeframe;
- Performing weekly stock-take of kitchen, facilities, workshop inventories and replenishing as required;
- Assisting with general accounting and invoicing processes as well as month end accounting procedures;
- Maintaining Petty Cash with an adequate float and ensuring an accurate balance at all times;
