**About Us**
Our Oral Maxillofacial Surgery practice is well established and we are located in the centre of Dandenong (parking provided). Our patient demographic is varied. Our Surgeon consults 2 x days per week, and the balance of your week will be handling administration. The practice closes down over Christmas (approx. 2 or so weeks), so you can spend time with your family and friends.

**About You**
This is an opportunity for a Practice Co-ordinator to use their extensive experience to assist our established Surgeon with his (mainly) paper practice. We are seeking an experienced, self-motivated and detail-orientated minded Practice Co-ordinator for a permanent part time role (2 x full consulting days, balance of days admin). Typing is outsourced to our Audio Typist.

As the pivotal member of this new team, you will need to demonstrate an exceptional commitment to ensuring our practice runs at its optimum and ensure we display exceptional patient care. You will work alongside our lovely Practice Nurse.
- Experience using **Shexie** - or similar medical software programs.
- Excellent communication skills with a positive and friendly manner and can-do attitude - a real team player
- Experience at a Surgical Medical Practice (mandatory)
- Professional appearance and demeanour (with outstanding attention to detail and strong skill level on all aspects of the Practice Co-ordinator role
- Theatre bookings and Surgical billing (and quoting) experience (mandatory), Known Gap, Self-Funded,.
- Ability to work independently with initiative and also love being part of a team
- You pride yourself on your attention to detail and thrive in implementing and smooth lining processes
- Happily being the gatekeeper for our Surgeon, allowing him to do what he does best - being a Surgeon.
- IT Savvy with great troubleshooting skills
- Professionally presented, in person, verbally and written

Responsibilities will include:

- Setting up consulting rooms and managing meet and greet
- Welcoming patients into the practice and answering phone calls and managing the inbox in an efficient, friendly and courteous manner
- Delivering exceptional customer service at all times (cannot be overstated)
- Scheduling and managing patient appointments via Shexie
- Undertaking Theatre bookings and Surgical billing and quoting including patient billing and processing of payments
- Performing general administrative duties such as scanning, faxing, mail sorting, filing and following up patient inquiries
- Supporting and assisting our Surgeon in a range of administration and ad-hoc tasks.
- Enjoy being flexible to assist our Surgeon and practice
- Accounts payable experience
- Accreditation experience (next accreditation due 2026, this can be outsourced)
- Experience with maintaining software
- Assisting with payroll/timesheets (bookkeeper process payroll)

Well above award remuneration based on skills and experience.

**Days/Hours**:
Monday, Tuesday, Thursday and Friday

8:45 am till 5:00 pm (30-minute unpaid lunch break)
