POSITION PURPOSE

The Communications Liaison will provide support to the Communications Team by building and maintaining mutually beneficial relationships, facilitating communication, and coordinating communications activities across Queensland Ballet. The Communications Liaison will work on both independent and team projects and provide high level administrative support for the team, including media monitoring, report collation and maintaining database records.

The Communications Liaison is a highly motivated individual with a passion for dance and/or the arts who is an integral member of Queensland Ballet’s high performing Communications team.

REPORTING RELATIONSHIPS

This position reports to the Head of Communications.

RESPONSIBILITIES

Media monitoring and Report Collation

Utilise the media monitoring service to monitor, collate, clip and where necessary, distribute media hits, prepare campaign reports, annual reports and/or monthly board reports.

Daily monitoring and reporting of media activity both for Queensland Ballet and general news.

Publicity

Contribute to Media campaigns, media releases, researching, writing, fact checking and delivery.

Action media enquiries and requests.

Work collaboratively with other Communications team members to deliver media events, including preparation of run sheets, liaison with internal and external stakeholders, organisation and briefing of talent, chaperoning media, and talent.

Prepare briefing notes with timing, details, background information and talking points for talent.

Assist with story pitching and story generation, including ideation, research, and preliminary interviews.

Communications

Support the communications requirements of the team, contributing to the production of a weekly internal newsletter, multiple monthly external newsletters, an annual printed publication, program and web content, and speech writing.

Support storytelling for each of Queensland Ballet’s business units and assist with channel identification for those pieces to reach a target audience, through story generation, research, writing, fact checking and liaison with multiple internal and external stakeholders.

Social Media and imagery

Capture images for use by media and or QB’s social platforms.

Draft, seek approval for and post and monitor accounts for social media.

Monitor social media content, for comments and trends.

Administration

Assist with information gathering and preparation of proposals, communication materials, reports and/or deliver documents to stakeholders as required.

Maintain a database of reviewers, media contacts and industry partners.

Prepare written correspondence, reports, meeting minutes, scheduling, project support and other duties, including purchase orders and reconciliation of credit card expenses for the team.

Coordinate travel arrangements and accommodation for the Communications team and other senior staff as required.

Genuinely interested in storytelling, the media, social media and the arts, stories, trends and how to communicate to different audience groups.

Interested in understanding the strategy behind a campaign, and the steps required to deliver key objectives.

At ease in a fast-paced, ambitious Arts organisation, where collaboration and creativity are the driving force.

KEY CRITERIA

Tertiary qualification in Communications combined with a minimum of 2+ years of recent experience in a media, marketing, or communications role.

Self-disciplined and able to maintain the daily media monitoring and report preparation requirements, while also providing a problem-solving approach to assist the communications team with key deliverables, from brief through to execution.

Current understanding of the media landscape and use of social media, combined with the ability to network and build trusted relationships and collaborate well across teams and with external suppliers

High computer literacy, particularly with Microsoft Office suite, Meltwater, basic CRM and CMS platforms, with the ability to quickly grasp new technologies

Excellent oral, written, and interpersonal communication skills with strong attention to detail combined with the ability to work autonomously when required and meet deadlines.
