**The Job: Medical Receptionist & Administrative Support/Personal Assistant**

Casual Part-time position - 5 days per week (4hours/day)

Timings 10am-2pm or 11am - 3pm

Relaxed environment - varied job tasks

Patient/Client contact required

**Your Role**:
Exciting opportunity to be part of a small team of Mental Health Practitioners.

This role is based in Castle Hill until September, we will be moving to new location which is The Hills Private Hospital, Baulkham Hills from September onwards. The role is office based and you would required to come to the office 5 days a week.

You will be an integral part of a dynamic team providing high-quality Counselling and Psychotherapy reception and administrative support to the Clinicians and their patients/clients.

In this role your responsibilities will include (but not limited to):

- Client phone calls and inquiries - Managing the administration of new, current and prospective patients/clients
- Scheduling & Coordinating appointments, meetings and conferences
- Electronic document management in a paperless practice environment
- Provide PA support to the Director in the practice
- Meeting and greeting patients
- Efficient record keeping - Communication skills
- Managing your secretarial workload efficiently
- Providing a high level of Administrative support
- Assist with the cleanliness of the practice
- Follow up and manage referrals and letters from GPs and other clinicians
- Seeking Work-cover Approvals
- Following up NDIS/Victim Services correspondence
- Typing procedures
- Typing Letters
- Invoicing and Payments
- Health funds Liaisons for any claims
- Miscellanous Administration tasks
- Order and maintain office supplies
- To ensure expectations and needs of the patients/client are consistently met and in most cases as the first point of contact.

**To be considered for this role the following skills and experience are required**:

- Experience in a similar role as a Medical Receptionist, with particular experience in billing and electronic patient management systems. Although, Experience using any Medical software program would be advantageous, however we use Power diary.
- Exceptional typing skills (55+ words per minute) are essential as the practice operates in a paperless environment, you will also be required to type letters.
- Passion for customer service, high attention to detail, outstanding verbal communication skills, strong organisation, and time management skills
- Motivated, energetic and proactive individual with a passion for providing exceptional patient service will be an ideal fit for this position
- Excellent communication (verbal and written) and interpersonal skills enabling effective communication at all levels of the business
- Discretion, confidentiality, and meticulous attention to detail
- Strong understanding of medical/mental-health terminology
- High attention to detail
- Professional presentation
- Sound knowledge of MS Office suite and MacOS friendly
- Able to adapt to and enjoy being part of a team with autonomy
