We are looking for a
**Quality and Systems Officer** to join our
**Safety &**
**Quality Team** on a
**Permanent Full Time** basis, based at our modern
**Head Office **in
**Clayfield**.

This role is responsible for providing a high level of proficient administrative and system support to the Qscan Group quality governance function across the domains of quality, safety, accreditation, reporting and systems (q-pulse). This position is responsible for supporting all Safety and Quality functions, with additional support to Clinical Governance (as required).

You will report to the Safety & Quality Manager, working within a friendly and close-knit team.

**Your Key Responsibilities**:

- Key systems administrator for Qscan Groups Incident Management System (Q-Pulse)
- Train staff on reporting and investigating through the system
- Create and manage users and logins
- Troubleshoot of Q-Pulse issues
- Follow up with key staff on investigation and corrective action close out
- Export data, manage routing and lists
- Create templates and archive and reinstate accounts
- Preparation of monthly board reports across quality, safety and clinical governance functions - collecting and exporting data, creating graphs and updating templates.
- Management of documentation across the group and maintenance of register
- Ensuring that all created documents (policies, procedures, protocols, forms, directives etc.) are appropriately endorsed, approved, version controlled and published
- Assist with reviewing documentation and development where required
- Attend committee meetings as required and assist in the preparation of agenda and minutes.
- Support the organisations ongoing continuous improvement agenda for clinical governance, quality, safety, and risk management.
- Assist and support sourcing of documentation and evidence required to meet accreditation (DIAS, ILO, ISO, Mammo), and submission to the Accreditation Assessor (QIP) as required.

**About You**

Alongside your relevant qualification or equivalent experience in administration, quality, workplace health and safety, systems, auditing or document management you will have at least 3 years’ experience in a similar role, with sound knowledge and understanding of document control and systems administration.

You will also have:

- Well-developed interpersonal skills and warm and friendly demeanour
- Excellent written and verbal communication skills
- The ability to problem-solve and think on your feet
- High-level attention to detail
- High-level organisational and time management skills to meet required deadlines
- The ability to work with a diverse group of healthcare staff, with a high level of interpersonal skills in communication to establish and maintain positive work relationships
- Demonstrated ability to take initiative in problem solving and in exercising judgement
- Ability to work independently as directed with mínimal supervision and collaboratively in a team environment
- Experience using Quality Management System (QMS) software at an advanced level
- Ability to generate and deliver reporting and provide recommendations and opportunities to the business regarding Quality improvements.
- Demonstrated experience in, and knowledge of, quality practices and procedures, current legislative requirements, and hands-on experience monitoring and reviewing health and safety systems, procedures and practices.
- Ability to work effectively remotely and from multiple work locations.
- Experience developing and reviewing documentation (i.e., policies, forms, protocols, directives and procedures)
