**About the role**
This is an exciting position within a busy team; who form the supplier facing function within National Fleet services. We provide Fleet to our internal customer, Downer Business Units ensuring they have the fleet they need to keep their projects running effectively. This fast paced role has autonomy to work independently, with responsibility to be involved in quoting process for Light Vehicles across the business. This role includes lots of communication across various audiences including internal and external stakeholders, problem solving and an opportunity to grow or enhance existing Fleet knowledge.
As a Fleet Administrator you will provide backup support for the Fleet Coordinator and work closely with the Fleet Programme Manager to bring important projects to fruition on time and to plan.
The primary objectives of the role includes processing orders, quotes and working with both the business and supply chain to ensure smooth running of this process. Providing Fleet administration and clerical services to ensure effective, efficient, and accurate fleet information is prepared and provided to and on behalf of the Fleet Delivery and Provisioning Lead. This is a full time permanent position and we are open to applicants based in Brisbane, Melbourne or Adelaide.
Other responsibilities include but are not limited to:
- Ensuring order information received from business / fleet managers are complete and references latest Downer specifications
- Ensuring vehicle requests have appropriate authorisation and approval
- Quoting vehicles for orders, tenders and pricing exercises with supply chain in a timely manner
- Ensuring tight timelines are appropriately communicated and managed
- Ensure IVMS is accurately and efficiently ordered to arrive on time
- Analysing returned quotes and returning any errors or queries to supply chain
- Recommending best value proposition for awards of orders based upon received pricing
- Communicating proposed financials to business for appropriate authorisation
- Ensuring efficient signatory approval of finalised leases
- Assisting Provisioning and Delivery Programme Manager with replacement vehicle ordering where necessary
- Assisting Fleet Coordinator where necessary with their roles and duties including deliveries, reporting, quality checking, processing documentation
- Preparation, submission and filing of appropriate Fleet documents to required expectation of detail, accuracy and time
- Establish and maintain appropriate registers and ensure all relevant documents are properly maintained and submitted to relevant parties including other Fleet departments, Accountants, Downer personnel, OEMs, FMOs, and other supply organisations as required
- Manage and attend to or redirect other general Fleet enquiries
**What you’ll bring**
- Minimum Certificate III - Business Administration or similar is preferred
- Four (4) years of experience in an administrative and/or fleet support role would be beneficial
- Demonstrated understanding of Light Motor Vehicle’s, Heavy Vehicles and / or plant and equipment highly beneficial but not essential
- Excellent customer service skills highly beneficial
- Ability to manage multiple workstreams
- Procurement experience beneficial but not essential
- Ability to liaise with and coordinate resources in an operational environment
- Experience working across a complex large organisation highly beneficial
