Civil Project Coordinator

Position Purpose

The primary position purpose is to assist in achieving the objectives of the People & Systems group within KK Civil.

A complementary purpose is to support the functions, efficiencies, and interactions of other groups within the KK Civil business including Construction Operations, Project Management, Facilities & Equipment, and Accounts & Administration.

Organisational Context

The People & Systems group has been established to improve business processes and manage risks. This includes improving:

- workplace health and safety
- regulatory and standards compliance
- ISO management systems and processes
- operational workflows & information and communication flows
- project management processes
- contract management and client interactions
- tendering and project acquisition processes
- community and stakeholder engagement
- usage and adoption of technology platforms and tools
- recruitment & training of staff throughout KK Civil Engineering

People & Systems must interact constructively with all teams to make new process adoption and change management a smooth and positive experience.

Accountabilities

A Project Coordinator will be expected to:

- Support the Occupational Health & Safety Management (ISO 45001), Environmental Management (ISO 14001), and Quality Management (ISO 9001) systems and processes of KK Civil.
- Manage projects in accordance with contractual obligations and maintain professional communication and liaison with clients and suppliers.
- Monitor and update online compliance portals to ensure KKC information remains current at all times.
- Proficiently manage Assignar to ensure all components are functioning smoothly and are up to date on a continuous basis including worker skills, resource allocations, and WHS and Quality monitoring and tracking forms.
- Produce compliance monitoring reports on all aspects of KK Civil operations.
- Monitor community engagement obligations for programs and projects.
- Handle enquiries and complaints from members of the public and residents in relation to notified works and works in progress.
- Produce reports and maintain records and reports of complaints, and incidents involving members of the public and KKC Staff.
- Checking forms, collating data, and ensuring information is properly captured from KKC platforms into KKC file system.
- Assisting with organising and maintaining the integrity of KKC files, folder system with adherence to correct KKC file naming protocols.
- Assist with the development and extension of KKC systems including to cover the operations and work of the Warehouse & Yard, Mechanical & Servicing, and Resource & Recovery teams.
- Facilitate the progression of numerous business improvement initiatives
- Support the ongoing training and development of staff across the business.

Reporting Relationships

A Project Coordinator reports to the General Manager, but also supports and assists as required the leaders and teams across the business including:
Project Management - Tenders & Estimating - Works Engineers & Estimators

Project Management - Restoration Projects - Works Engineers & Estimators

Construction Operations - Operations Managers and Work Coordinators

Facilities & Equipment - Facilities Manger and Warehouse & Yard, Mechanical & Servicing, and Resource & Recovery Personnel

Accounts & Administration - Accounts & Administration Manager & Accounts Officers

Level of Supervision

A Project Coordinator operates under general direction and is expected to demonstrate initiative in performing the role, and if there are competing priorities, is expected to exercise discretion to address the most urgent and important tasks first.

Pay: $70,000.00 - $90,000.00 per year

- 8 hour shift
