Position Overview: We are seeking an enthusiastic and detail-oriented Marketing & Events Coordinator to join our team. The Marketing & Events Coordinator will be responsible for planning, organizing, and executing a variety of events, including webinars, virtual PIEs (Program Increment Events), team events, larger conferences, and field PIE events. This role also involves managing event logistics, attendee coordination, and ensuring compliance with company processes.
Key Responsibilities:
Support marketing team with Veeva submissions:
- Collaborate with the marketing team on the timely submission of marcomms into reviews platform.
- Work with reviewers to achieve timely review of marcomms.
- Provide guidance on claims and disclaimers to marketing team to ensure frictionless review.
Social media support:
- Provide support to marketing team around creation of social media materials
- Provide support to marketing team with moderation of social media responses
SOW Creation & Management (Per Process):
- Create Statements of Work (SOWs) for event-related services and vendors.
- Ensure compliance with company processes in SOW management.
Co-ordinate Webinars attendees:
- Manage the registration process for webinar attendees.
- Ensure smooth communication and coordination with webinar participants.
Co-ordinate Virtual PIEs:
- Plan and execute virtual Program Increment Events (PIEs).
- Coordinate all aspects of virtual PIE logistics, including scheduling, technology setup, and participant engagement.
Co-ordinate Team Events:
- Organize and oversee various team events to foster team spirit and collaboration.
- Coordinate logistics, catering, and event activities.
Co-ordinate Larger Conferences:
- Assist in the planning and execution of larger conferences and industry events.
- Coordinate registration, booth setup, and promotional materials.
Event Invite Templates:
- Create and maintain event invitation templates for various types of events.
- Customize templates as needed for specific events.
Attendee Management (pre, during & post event):
- Manage attendee lists before, during, and after events.
- Provide support and assistance to attendees as needed during events.
Co-ordinate Field PIE Events:
- Plan and execute field Program Increment Events (PIEs) at different locations.
- Coordinate logistics, travel arrangements, and event materials.
Update Compliance Approved Venues List:
- Maintain and update a list of compliant venues for company events.
- Ensure venues meet all necessary compliance standards.
Venue Management:
- Oversee the selection and management of event venues.
- Coordinate venue logistics, contracts, and setup.
Event Collateral Management:
- Manage event collateral, including brochures, banners, and promotional materials.
- Ensure timely production and distribution of collateral.
Additional Marketing Admin (Print & Other):
- Assist with various marketing administrative tasks, including print materials and other promotional programs.
Qualifications:
- Bachelor's degree in event management, marketing, or a related field (or equivalent experience).
- Proven experience in event coordination and management.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools.
- Ability to work independently and in a team.
- Knowledge of compliance and SOW management is a plus.
