Role Overview: This is an exciting opportunity for an experienced Executive Assistant to provide day-to-day executive support to HUB24's Chief Financial Officer.

The role is based in Sydney, with a commitment to in-office attendance four to five days a week. You will play a vital role in proactively supporting our Chief Financial Officer, and partnering with Administration staff on company-wide initiatives.

  • Provide day-to-day executive support to the CFO, including decision-making and problem-solving where directed.
  • Maximise efficiency for the Finance team by implementing work processes and procedures with a focus on continuous improvement.
  • Provide administrative support to key leadership team members as required.
  • Schedule board meetings and manage calendars.
  • Organise investor road shows twice yearly.
  • Enhance the CFO's time efficiency through strong prioritisation, effective diary and mailbox management, proactive preparation, and detailed follow-up on key deliverables.
  • Draft communications on behalf of the CFO, prepare PowerPoint presentations, and project material.
  • Work with CoSec to ensure all HUB24 subsidiary board and board committee deliverables are met.
  • Manage travel, invoices, expenses, and other approvals.
  • Organise quarterly town halls, regular offsites, and other team-building activities.
Key Responsibilities:
  • Provide strategic support to the CFO, including research and analysis.
  • Develop and implement process improvements to enhance the Finance team's efficiency.
  • Manage complex calendars and scheduling.
  • Prepare high-quality presentations and materials.
  • Coordinate travel arrangements and expense reporting.
