Job Description:

We are seeking a proactive Facilities Coordinator to manage day-to-day operations at a high-profile corporate site in Sydney's CBD. This is an on-site, client-facing role where you will act as the central point of contact for facilities operations, ensuring smooth and efficient service delivery.

About the Role:
  • You will be responsible for managing maintenance requests, tracking KPIs, and ensuring timely completion of work orders in the CMMS.
  • You will support the Facilities and Account Managers with procurement, invoice reconciliation, and budgeting tasks.
  • You will maintain compliance with safety and environmental policies and manage contractor performance.
  • You will take ownership of monthly & quarterly reporting and ensure documentation is accurately maintained.
Key Responsibilities:
  • Act as the first point of contact for all facility-related enquiries from internal and external stakeholders.
  • Manage and delegate maintenance requests, track KPIs, and ensure timely completion of work orders in the CMMS.
  • Support the Facilities and Account Managers with procurement, invoice reconciliation, and budgeting tasks.
  • Maintain compliance with safety and environmental policies and manage contractor performance.
  • Take ownership of monthly & quarterly reporting and ensure documentation is accurately maintained.
Required Skills and Qualifications:

Essential:

  • Experience in facilities coordination or corporate property services.
  • Strong computer skills, including CMMS, Microsoft Office (Excel, Outlook, Word), Power BI. Experience with Power Automate and Flows will be highly regarded.
  • High-level communication and stakeholder management skills.
  • Sound financial acumen and an understanding of compliance frameworks.

Desirable:

  • Knowledge of subcontractor scoping, tendering, and service contract management.
  • First Aid Certificate and/or qualifications in facilities or building management.
  • Flexibility to multitask and adapt in a fast-paced, client-driven environment.
