Job Title: Director of Operations Management
Key Responsibilities:- Provide strategic administrative and executive support to the Deputy Commissioner.
- Manage the Deputy Commissioner's schedule, ensuring efficient coordination of agendas and briefings.
- Oversee human resource documentation, including recruitment, selection, staff appointments, uniform ordering, and staff movements.
- Prepare monthly financial reconciliations and perform routine financial administrative tasks.
- Coordinate meeting agendas, minutes, presentations, and board papers.
- Maintain effective communication and relationships between departments.
- Manage administrative activities within the Directorate, ensuring deadlines are met and compliance with Departmental procedures.
- Coach and guide administrative staff on task completion in line with required standards.
- Offer high-quality support to the Directorate, assisting with correspondence preparation, including briefs, memorandums, submissions, and reports.
- Examine and action correspondence through electronic record management systems.
- Advise staff on using corporate systems.
- Liaise with internal and external stakeholders regarding Directorate activities.
- Evaluate and amend correspondence as necessary.
- Prioritize incoming and outgoing correspondence and advise the Deputy Commissioner of urgent matters.
- Maintain confidentiality of handled documentation and ensure a secure filing system.
- Perform quality assurance of outgoing directorate correspondence.
- Coordinate logistics for events and meetings.
