Legal Operations Specialist

The role of Legal Operations Specialist is an exciting opportunity to join a dynamic team and make a meaningful contribution to the success of our organisation. As a key member of our central legal team, you will be responsible for providing operational efficiency and support to the GM of Legal and wider team.

About the Role:

We are seeking an experienced professional with a strong background in administrative and/or operations roles within or supporting a legal team. The ideal candidate will have excellent communication skills, ability to engage and maintain strong working relationships with internal and external stakeholders, and experience in filing and general management of legal contracts.

Key Responsibilities:
  • Administrative Support: Manage calendars, schedule meetings, draft correspondence, and handle general queries for the GM Legal and Legal Team.
  • Meeting Coordination: Organise Legal Team meetings, prepare agendas, take minutes, and ensure smooth communication flow.
  • Process & Technology Optimisation: Identify and implement improvements in legal operations, including automation and reporting.
  • Financial Management: Handle invoice and expense processing, and generate legal cost reports using our platform.
  • Contract & Signing Oversight: Assist with document signing and maintain our contracts register.
  • Event & Travel Planning: Coordinate travel, organise team events, seminars, off-sites, and manage catering logistics.
Requirements:
  • 5+ years in similar administrative and/or operations roles within or supporting a legal team (Private practice or in-house).
  • Experience in filing and general management of legal contracts.
  • Strong communication skills and ability to engage and maintain strong working relationships with internal and external stakeholders.
  • Excellent IT skills (MS Office Suite) and previous experience in matter management platforms.
  • Experience with Docusign and Concur is highly regarded.
  • Interest in optimisation of technology and reporting.
  • Exceptional communication skills, with ability to liaise with all levels.
  • Shows initiative with a focus on efficient solutions.
