The Role

As a Client Experience Coordinator, you will be instrumental in delivering a unique client journey. The Guest Services team collaborates closely with other Business Services divisions to guarantee a seamless and high-quality experience that distinguishes us from our competitors. You will receive the support and resources necessary to refine your skills and provide World-Class Service at White & Case.

The Client Experience Coordinator will partner with our Office Operations Manager to ensure that our facilities are consistently pristine, with meeting rooms and communal areas prepared for use by both internal and external clients as needed. You will be a proactive team player, continuously seeking to enhance operational processes, anticipate needs, and take initiative.

Key Responsibilities

  • Preparing meeting rooms and event spaces for various functions.
  • Taking beverage orders, preparing, and delivering them to designated areas.
  • Clearing and rearranging rooms after meetings or events, ensuring cleanliness and readiness for subsequent use.
  • Assisting in the coordination of video conferencing and conference call setups.
  • Maintaining cleanliness in front and back office kitchens and staff break areas.
  • Providing reception coverage in the absence of the Receptionist.
  • Managing the ordering, maintenance, and restocking of office supplies.
  • Supporting the Office Operations Manager and back office team with general administration and other ad hoc requests as necessary.

Desired Skills and Attributes

We are looking for a polished, customer service-focused individual with a background in hospitality and a genuine passion for client satisfaction. Ideally, you will possess:

  • A minimum of 2 years of relevant experience in a hospitality or customer service role.
  • A barista certification (preferred).
  • An RSA qualification (preferred).
  • Strong written and verbal communication skills.
  • Resourcefulness and proactivity in addressing potential issues.
  • Excellent organizational skills with the ability to multitask and prioritize under pressure.
  • Flexibility to work overtime for special events.
