About the Role

We are seeking an experienced and highly organized Administration Officer to join our Patient & Community Transport Services team at St John WA. As a key member of our team, you will provide administrative support to the General Manager and Leadership team, ensuring the smooth operation of department activities and Key Performance Indicators (KPIs).

Key Responsibilities
  • Collaborate with the General Manager to achieve department goals and objectives.
  • Identify and mitigate department or business risks that could impact KPIs.
  • Collate reports and data to inform decision-making.
  • Organize monthly department meetings and individual meetings between the General Manager and Senior Manager/Manager.
  • Provide business and administration support to all aspects of the department, including:
    • Meeting room bookings and coordination.
    • Preparing meeting agendas and taking minutes.
    • Collaborating with internal teams to organize travel arrangements.
    • Coordinating key team events and external events.
Requirements
  • Background in corporate, health, community, or commercial sectors (preferred).
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Knowledge of systems, tools, and processes within the ambit of this position.
  • Good problem-solving and organizational skills.
  • Strong accuracy and attention to detail, with demonstrated analytical skills.
  • Excellent communication skills, both written and verbal.
  • Highly developed ability to understand department functions and their interrelations.
  • Experience with diary management and coordination of meetings, bookings, and preparing correspondence.
  • High levels of professionalism, integrity, and discretion.
  • Advanced skills in Microsoft Office suites (particularly Word, Excel, Outlook, and PowerPoint).
  • Strong work ethic and high self-motivation, with an ability to prioritize tasks to meet deadlines.
  • Ability to adapt to an ever-changing environment and learn new programs and processes.
  • Diploma of Business Administration and/or extensive administrative experience (desired).
