Job Description

The Contract Administration Officer is responsible for delivering high-quality services in contract management and administration, operational and commercial performance monitoring, governance, and risk within a procurement framework.

This role is part of the Chief Procurement Office and is embedded into the Waste and Resource Recovery Branch. It collaborates with staff across all teams within the contract lifecycle.

Responsibilities include:

  • Providing contract administration support to the Waste Partnerships team and Waste and Resource Recovery business
  • Operating and administering the document management system for relevant agreements, including assistance to other users and stakeholders
  • Assisting with the preparation and supply of timely and accurate information to stakeholders
  • Monitoring compliance with document management requirements by other users of the system
  • Assisting with capture and display of relevant contractual performance reporting in documentation of both the contractor and the City
  • Assisting with contract management and governance activity tracking, including task lists/action tracking and routines in various systems and contract forums
  • Identifying potential governance-related issues for the attention of the Waste Partnerships team or business representatives
  • Supporting problem-solving and providing relevant, timely, and accurate advice on procurement matters relating to contract administration and management
  • Working collaboratively with stakeholders in providing support for contract management and administration activities

To be successful in this role, you should have:

  • Demonstrated understanding of procurement policies, processes, and contemporary procurement practices to deliver value-for-money outcomes
  • Demonstrated understanding of contract administration and governance as a support function for complex and strategic business requirements
  • Understanding (or the ability to acquire) of the City's strategic business requirements and legislative requirements as they relate to procurement
  • Good interpersonal skills with effective communication and negotiation skills to establish and maintain effective relationships with suppliers and internal stakeholders
  • Strong analytical, problem-solving, and investigative skills
  • A demonstrated commitment to safety
