Balgownie Estate is a luxury event venue in the Yarra Valley, boasting stunning vineyards and gardens.

This role involves providing exceptional client service from initial enquiry through to event execution, while also driving revenue growth through special events and site inspections.

The Role:
  • Manage wedding and event contracts, booking forms, and client correspondence efficiently.
  • Liaise with internal teams, suppliers, and vendors to coordinate seamless event execution and exceed client expectations.
  • Create and distribute detailed run sheets and event orders to ensure timely delivery.
  • Conduct site inspections and host prospective clients on tours of the estate.
  • Process deposits and payments in accordance with contract terms and enhance revenue opportunities through effective yielding and special event creation.
  • Collaborate with kitchen, front-of-house, and operations teams to deliver memorable experiences for clients.
  • Assist in the coordination of special event days and promote the venue at industry events, expos, and sales meetings.
About You:
  • Possess exceptional interpersonal and communication skills, with a collaborative approach and ability to work under pressure.
  • Demonstrate knowledge and experience with Opera and MS Office, or be willing to learn.
  • Show adaptability, problem-solving skills, and attention to detail in a fast-paced environment.
  • Hold full knowledge of conference layouts, AV requirements, and event setups.
  • Have a minimum 2 years' experience in Event Coordination or a relevant qualification in Marketing, Events, or Communications.
  • Be reliable and have access to a vehicle for regular transport to the venue.
  • Exhibit enthusiasm, attention to detail, and a passion for creating unforgettable experiences.
