About the Opportunity

The Perth team at Urbis is seeking a skilled Team Administrator or Senior Team Administrator to provide critical administrative support to the Regional Director and team. This role plays a pivotal part in optimizing the practice management system, fostering continuous improvement, and guiding fellow team members.

Responsibilities
  1. Administer comprehensive support, encompassing invoicing, project scheduling, report formatting, and presentation assistance.
  2. Deliver technical support for Microsoft Office, BST, and expense management systems.
  3. Manage project invoicing, expense reports, billing, and oversee the filing system.
  4. Promote ongoing process improvement within the administrative sphere.
  5. Collaborate with colleagues to maintain workplace health and safety standards.
  6. Ensure seamless email, calendar, meeting, and travel management while serving as a liaison between staff and clients.
  7. Coordinate team gatherings and draft reports and tenders.
Expected Qualifications
  1. A background in a comparable role, ideally within a professional services organization.
  2. An established track record in coordinating projects and managing invoices.
  3. Proficiency in utilizing Microsoft tools (Outlook, Word, Excel, PowerPoint, Teams) at an intermediate to advanced level.
  4. The capacity to prioritize tasks effectively and manage multiple responsibilities simultaneously.
  5. A high degree of technical expertise in software applications, including Microsoft Office suite and company-specific systems.
  6. Proven experience in managing business projects and handling financial transactions.
  7. Excellent communication and interpersonal skills, enabling effective collaboration and expectation management.
  8. An advantageous educational background in business administration or related field, though not obligatory.
