About the Role:

The Campus Secretary will play a critical role in managing the daily operations of the campus reception. This position requires a professional appearance, adaptability, a friendly attitude, strong communication abilities, and the capacity to handle stressful situations.

Key Responsibilities:

  • Extract student absence reports from the Student Information System and update the Student Unexplained Absences report.
  • Issue late passes to students who are late to school.
  • Verify attendance on the Student Information System for students who are away for certain periods or full days.
  • Send SMS notifications to parents and PFA members about student absences and meetings.
  • Regularly update Student Long Term Absences and ensure Long Term Absence forms are completed by parents and signed by coordinators.
  • Receive daily fee payments from parents and students.
  • Assist the finance department with administrative tasks, including CSEF, petty cash, and school fee collection.
  • Answer inbound calls and make external calls when required.
  • Maintain the campus email account and make announcements via the Public Address system as requested.
  • Maintain the sick bay and perform emergency administrative tasks, including ordering and maintaining stock, records, linen, and first aid kits.
  • Attend to students in the sick bay and administer first aid and/or medication, and contact parents or emergency services if necessary.
  • Update documentation for medical conditions, ensuring medicine and action plans are up-to-date for students.
  • Organize first aid supplies for school camps and excursions.
  • Organize events such as school photos, immunizations, and dental visits for students.
  • Attend excursions and camps as requested by the Campus Principal.
  • Record-keep school credit card transactions.
  • Perform other administration and reception duties as required.

Requirements:

  • Possess or be willing to obtain a Working With Children Check (WWCC).
  • Exceptional interpersonal and collaborative skills, and the ability to effectively communicate with students, parents, teachers, and external stakeholders.
  • Excellent presentation and communication skills.
  • Able to exhibit multi-tasking skills and work independently or as a team.
  • Exceptional communication skills, both face-to-face and on the phone.
  • Proficiency in utilizing IT systems.
