Role Overview

The Airport Operations Coordinator - Administration Support is a key role within our operations team, providing administrative support to the leadership team and crew across various ports. This position plays a vital business support function in managing the administration process effectively.

Job Description

The successful candidate will be responsible for:

  • Providing administrative support to management while maintaining full confidentiality
  • Scheduling, email, phone calls, and requests as appropriate
  • Supporting the management team with creating relevant data packs, performance data, and/or reports as required
  • Assisting managers with routine approvals (e.g., leave, purchasing) and facilitating approvals from manager where required
  • Coordination of activities to support meeting planning and scheduling, agendas, minutes, and action taking/action follow-up
  • Maintenance of contact lists, distribution lists, and organization charts
  • Financial administration activities such as creation of new suppliers in the system, raising and reconciling purchase orders, and processing invoices to meet payment terms
  • Supporting the coordination of team functions/events, public affairs/business initiatives, and team member gifts
  • Carrying out relevant administrative tasks including ASIC, carparking, access control, system access, uniform, new hire onboarding, and cessation of employment for roles within the airport
Requirements
  • Previous administration/coordination experience
  • Natural ability to focus on attention to detail
  • Experience working in a dynamic office/corporate environment
  • Experience working with a diverse range of stakeholder groups (both internal and external) and assisting them to manage their competing priorities to achieve business goals and objectives
  • Understanding of the dynamics of airport operations
  • Proficient in Microsoft suite of applications
  • Exceptional customer service skills and mindset
Salary and Benefits
