About the Role

We are seeking a highly organized and detail-oriented Commercial Property Coordinator to join our Retail team at Melbourne Airport. As a key member of our team, you will be responsible for assisting with the preparation of tenancy-related documentation, engaging with internal and external stakeholders, and overseeing the tracking of leases for Retail tenancies.

Key Responsibilities
  • Ensure accurate and timely processing of billing and financial transactions, in accordance with agreement terms and charges.
  • Process leases to ensure all information is accurate and logged onto a database, with proper filing and documentation.
  • Assist in the preparation of tenancy-related documentation, including agreements and contracts.
  • Engage with internal and external stakeholders to provide information and resolve queries, ensuring timely execution of documents.
  • Monitor agreement terms and expiries, identifying opportunities for renewal, holdover, or termination.
  • Track the status of retail leasing matters and update internal stakeholders accordingly.
  • Monitor tenancy-related leases, concession agreements, and licenses, ensuring compliance and accuracy.
  • Assist in accurate data entry and preparation of monthly billing data and revenue accruals.
  • Identify and liaise with Retail Operations regarding site inspections to meet safety standards.
  • Liaise with tenants regarding rental statement issues and errors.
  • Assist Finance and Retail teams in following up with retailers for sales as required.
Requirements
  • Exposure to leasing or an understanding of property and legal documentation.
  • Experience working in a contract management or similar data management role.
  • Highly developed stakeholder management skills.
  • Excellent data entry skills, with a high level of accuracy.
  • Well-developed written and verbal communication skills.
  • Experience and skill in prioritizing and managing multiple projects/tasks.
  • Experience using MS Office, with intermediate to advanced Excel skills.
  • Persuasive customer service skills.
