We are seeking a highly organized and detail-oriented Commercial Property Coordinator to join our Retail team at Melbourne Airport. As a key member of our team, you will be responsible for assisting with the preparation of tenancy-related documentation and engaging with internal and external stakeholders from preparation to execution of documents.
Key Responsibilities- Document Preparation and Management: Ensure billing and other financial transactions are being processed accurately, and ensure the data is in accordance with the terms and charges set out in agreements, as well as monitoring agreement terms and expiries.
- Lease Processing: Process the leases to make sure all the information is accurate and logged onto a database and filed appropriately.
- Documentation Support: Assist in the preparation of tenancy-related documentation.
- Stakeholder Engagement: Engage with internal and external stakeholders to provide information and resolve queries to ensure the timely execution of documents.
- Documentation Verification: Ensure all required documentation is included with the lease prior to internal approval.
- Tenant Support: Respond to tenant queries regarding leases, concession agreements, and licenses throughout the entire leasing process.
- Lease Tracking: Track the status of retail leasing matters and update various internal stakeholders.
- Agreement Monitoring: Monitor tenancy-related leases, concession agreements, and licenses.
- Data Entry and Billing: Assist in accurate data entry and preparation of monthly billing data and revenue accruals.
- Agreement Renewal: Identify expiring agreements and make recommendations to the Head of Leasing and Commercial regarding renewal, holdover, or termination.
- Site and Lease Records: Create and maintain Site and Lease records.
- Tenant Liaison: Identify and liaise with Retail Operations regarding site inspections to meet safety standards.
- Rental Statement Issues: Liaise with tenants regarding rental statement issues or errors.
- Follow-up and Reporting: Assist the Finance and Retail teams in following up with retailers for sales as required.
- Leasing or Property Experience: Exposure to leasing, or an understanding of property and legal documentation.
- Contract Management: Experience working in a contract management or similar data management role.
- Stakeholder Management: Highly developed stakeholder management skills.
- Data Entry and Accuracy: Excellent data entry skills, high level of accuracy.
- Communication: Well-developed written (including report writing) and verbal communication skills.
- Project Management: Experience and skill in prioritizing and managing multiple projects/tasks.
- Technical Skills: Experience using MS Office, with intermediate to advanced Excel skills in particular.
- Customer Service: Persuasive, customer service skills.
