About the Role

We are seeking an experienced Executive Assistant to provide high-level administrative support to the General Manager for Property and General Manager for Finance Operations & Sustainability (GM). This role will act as a key support for the two GMs and a point of contact between various stakeholders, both internal and external.

The successful candidate will provide end-to-end administration support to both GMs, as well as administration support to the GMs' direct reports and wider teams. This will include:

  • Diary and travel management
  • Preparation and maintenance of documents and presentations
  • Coordination and support of events, conferences, and team days
  • Archiving and file management
  • Expense reconciliation
  • Problem-solving and stakeholder engagement

Additional responsibilities will include:

  • Representing the GMs and respective teams within the EA community across Coles
  • Anticipating and communicating with key stakeholders and arranging required documentation for key meetings and events
  • Responding to suppliers and externals in a timely and professional manner
  • Managing and completing P&C administrative tasks
  • Acting with complete confidentiality and integrity at all times
About You and Your Skills

We are looking for an experienced Executive Assistant with a proven track record in supporting senior leaders. You will be a self-starter with initiative, strong problem-solving skills, and strong stakeholder management skills. You will also have:

  • A successful track record in a large organization
  • Excellent verbal and written communication skills
  • Ability to adapt, multitask, and problem-solve
  • Demonstrable experience handling confidential information
  • Maturity, resilience, and the ability to work with minimal direction at times
  • Confidence to liaise with all levels of the organization
  • Proficiency in reporting and presentations using the Microsoft platform: PowerPoint, SharePoint, Teams, and Shared documents
