
Administrative Coordinator

The role of the Administrative Coordinator is to provide executive support and administrative services to the Executive Director and Operations divisions, facilitating the achievement of organisational objectives.
This position is responsible for a range of tasks including:
- Diary management and coordination
- Drafting and preparing correspondence, agendas, minutes, presentations and briefing notes to support business requirements
- Accommodation bookings and travel arrangements
The successful candidate will be required to:
- Assess and prioritise requests to facilitate the optimal use of the executive's time
- Manage the executive director's calendar, information flow, records and correspondence, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda
- Draft and prepare correspondence, agendas, minutes, presentations and briefing notes to support the achievement of business requirements
- Gather, collate and provide background information for the executive to support informed decision making and planning
- Provide administrative and logistical support to facilitate adherence to relevant agency policy (e.g. fleet vehicle, accommodation and travel bookings and use)
- Maintain and update administrative practices, systems and procedures to improve efficiency and service delivery
- Build and maintain relationships with other business areas to effectively arrange and set-up for meetings and manage the flow of business information and activities
To be successful in this role, applicants must have:
- Demonstrated experience providing executive support and assistance services
- An ability and willingness to travel within NSW and support other operational roles during disasters, emergencies and other events, consistent with skills, background and personal circumstances
