Job Summary:

The Patient Services Manager plays a pivotal role in leading and managing the daily operations of the department, ensuring smooth and efficient service delivery to patients.

This key position involves supervising and mentoring administrative staff, overseeing their onboarding, training, and performance management.

Additionally, the Patient Services Manager coordinates patient-facing functions, including reception, appointment scheduling, registration, and pathway support.

Responsibilities also extend to overseeing Medicare billing, quoting, receipting, and financial reconciliation, as well as managing petty cash and aged debtors.

The successful candidate will be responsible for responding to escalated patient and staff enquiries, ensuring timely and empathetic resolution.

Supporting donor and surrogacy programs is also an integral part of this role, including consent management and compliance with legislative requirements.

Maintaining privacy compliance, contributing to internal audits, and supporting accreditation and KPI reporting are essential aspects of this position.

Key Requirements:

  • Demonstrated experience in medical practice management, specifically in leadership roles within healthcare or IVF settings, with at least three years of proven capability in supervising teams, managing rosters, and overseeing financial transactions.">
  • Advanced proficiency in medical software systems and Microsoft Office applications, enabling effective management of complex administrative workflows, generation of financial reports, and troubleshooting operational issues in high-volume patient-facing environments.">
  • Strong interpersonal and communication skills, with a track record of mentoring and coaching staff, resolving patient and employee grievances, and fostering a collaborative team culture aligned with organisational values.">
  • Proven ability to manage competing priorities, delegate effectively, and demonstrate sound judgment, attention to detail, and commitment to continuous improvement.">
  • Understanding of IVF-specific terminology, donor and surrogacy program protocols, and broader industry developments, enabling support for compliance, workplace health and safety, and staff training initiatives, while actively contributing to strategic planning and policy enhancement.">
