Job Title: Franchise and Projects Coordinator

We are seeking a highly organized and detail-oriented Franchise and Projects Coordinator to join our team in North Sydney. As a key member of our franchise operations team, you will play a critical role in shaping the future of our Franchise Network across Australia and New Zealand.

Key Responsibilities:
  • Manage and maintain accurate franchise partner records, ensuring smooth document control and seamless operations.
  • Spearhead the digitization of the Franchise Toolbox, streamlining templates, guides, and processes to simplify renewals and terminations for all stakeholders.
  • Develop and implement robust controls for franchise guides, operations manuals, and store visit notes, ensuring everything is up-to-date and accessible.
  • Handle franchise-related charges, credit requests, and invoices, ensuring financial processes run efficiently and partners' needs are met.
  • Keep a close eye on franchise financial obligations, ensuring timely collection of funds and resolving partner inquiries with ease.
  • Oversee the entire Purchase Order process from creation to receipt, ensuring smooth coordination and organization every step of the way.
  • Simplify and enhance document access within the Franchise Toolkit and SharePoint, making critical information easier to find and use.
  • Coordinate and bring to life franchise conferences, roadshows, and other key events, creating memorable and impactful experiences.
  • Collaborate with internal and external teams to deliver projects on time and within budget, keeping everything aligned with broader business goals.
  • Organize and lead project meetings, track action items, and keep stakeholders informed with regular progress updates.
  • Prepare essential governance and steering committee updates, maintaining project timelines and identifying potential risks before they affect critical paths.
  • Proactively respond to and monitor Service Desk requests, ensuring timely resolutions and excellent service.
  • Ensure all franchise partner news, compliance documents, and templates are easily accessible on SharePoint, guaranteeing relevant user access for a seamless experience.
Requirements for Success:
  • Previous experience in an administration or project coordination position.
  • Excellent organisational skills with strong verbal and written communication.
  • A talent for building strong relationships and working closely with stakeholders at all levels.
  • Basic understanding of budgeting, financial management, and risk management.
  • Ability to draft reports, business correspondence, and policy or procedure manuals.
  • Awareness of the importance of risk management in achieving commercial goals.
  • Familiarity with Microsoft Office, and ideally, MS Project, SharePoint, SAP, or Power BI.
  • Previous experience in a franchise environment is a plus but not essential – we can teach you the ropes.
