Key Responsibilities
  • Manage the daily opening and closing of the Toowong Office, maintaining a high standard of cleanliness and organization.
  • Handle internal and external calls with professionalism, providing accurate and timely information to clients and staff.
  • Greet clients, staff, and visitors with a welcoming and professional demeanor, creating a positive first impression of our company.
  • Oversee general administration tasks, including courier, mail, and deliveries management, expense processing, and invoice reconciliation, ensuring accuracy and efficiency.
  • Maintain office supplies and manage inventory for the site, ensuring that all necessary materials are available when needed.
  • Coordinate meeting room bookings, setup, and AV requirements, ensuring seamless execution of events and meetings.
  • Arrange catering for various meetings and events, providing a high-quality experience for attendees.
  • Provide general admin support to EAs, PAs, and other administrative functions, ensuring that all tasks are completed efficiently and effectively.
  • Assist with onboarding new staff, including security access and site orientation, ensuring a smooth transition into the company.
  • Manage the Gallagher site security system, ensuring accurate staff information and security access, maintaining a secure and safe working environment.
  • Oversee the Visitor Management Tool and create reports as needed, providing valuable insights into site activity.
  • Draft email communications, design posters, and maintain spreadsheets, utilizing your creative and technical skills to support the team.
  • Manage My Service tickets for the site, ensuring that all issues are resolved promptly and efficiently.
  • Support P&C in conducting site hazard inspections, identifying potential risks and implementing solutions to mitigate them.
  • Collaborate with leaders to enhance the site, people, and business culture, contributing to a positive and productive work environment.
  • Manage supplier accounts and handle spending responsibly, ensuring that all financial transactions are accurate and compliant.
  • Engage with stakeholders at all levels, both internal and external, building strong relationships and fostering a culture of collaboration and respect.
  • Maintain and update process and procedure documents, including the reception manual, ensuring that all policies and procedures are up-to-date and compliant.
  • Provide training and support to new team members, ensuring that they have the necessary skills and knowledge to perform their roles effectively.
  • Assist the Head of Site and Employee Experience teams with various ad hoc tasks and site events, providing additional support and expertise as needed.
Requirements
  • 5+ years' experience in a Reception or administration role, with a proven track record of delivering high-quality results.
  • Excellent communication skills, both written and verbal, with the ability to build strong relationships with stakeholders.
  • Strong time management and task prioritization skills, with the ability to manage multiple requests simultaneously and prioritize issues effectively.
  • Sound analytical and problem-solving abilities, with the ability to identify and resolve complex issues.
