Reception Office Clerk Job DescriptionAbout the Role

This role plays a vital part in ensuring the smooth and efficient operation of front-of-house services, supporting both employees and guests.

The Receptionist ensures reception and office areas operate efficiently, maintaining a safe, organised, and customer-focused environment.

Working closely with administrative and facilities teams, the successful candidate will present our organisation as professional and innovative, committed to excellence in all areas of its operations.

Key Responsibilities
  • Provide a professional, friendly, and efficient reception service to all visitors, staff, and stakeholders.
  • Manage a busy switchboard, promptly answering and directing incoming calls.
  • Ensure front-of-house security protocols are followed at all times, including visitor registration and access procedures.
  • Notify the appropriate staff or departments upon guest arrivals, ensuring a smooth visitor experience.
  • Maintain the professional appearance of reception, meeting rooms, kitchens, and shared spaces.
  • Coordinate mailroom services, including incoming and outgoing mail and courier requests.
  • Monitor and order office and kitchen supplies to ensure availability at all times.
  • Accurately update and maintain registers, logs, and records as required.
  • Report building and maintenance issues promptly to the relevant teams.
Required Skills and Qualifications
  • Previous experience in a reception or front-of-house role is highly desirable.
  • Strong interpersonal and communication skills with the ability to engage positively with staff and visitors.
  • Ability to prioritise, organise, and manage multiple tasks in a busy environment.
  • Flexible and adaptable, with the ability to respond effectively to changing demands.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
  • Administration skills with attention to detail and accuracy.
  • Experience with SAP is highly desirable.
  • Effective team player who contributes to a supportive and professional workplace culture.
  • Minimum completion of Year 10 education.
