Job Summary

This pivotal role oversees the operational and maintenance aspects of a company's physical environment and assets. The successful candidate will be responsible for managing maintenance, safety and security, cleanliness, and overall functionality.

Duties and Responsibilities

  1. Facility Management
    1. Develop and implement strategic maintenance plans for buildings and grounds
    2. Oversee routine and preventive maintenance for critical infrastructure, including HVAC, plumbing, electrical systems, and other vital components
    3. Coordinate repairs and renovations with external service providers
    4. Supervise cleaning, upkeep, and security measures to ensure a safe and secure work environment
  2. Safety and Security Protocols
    1. Ensure compliance with local, regional, and national regulations, including health and safety standards
    2. Conduct regular inspections to identify and mitigate potential safety hazards
    3. Manage fire safety systems, including alarms and sprinklers, and ensure regular testing and maintenance
    4. Establish comprehensive safety programs and initiatives, including protocols for accidents and incidents, relevant reporting, and documentation
    5. Lead the security team, developing and implementing protocols and standard operating procedures (SOPs)
  3. Budgetary Oversight
    1. Prepare and manage the facilities budget, analyzing spending and identifying areas for cost savings
    2. Oversee procurement of supplies and services within budget constraints, ensuring value for money
  4. Vendor Management and Relations
    1. Source, negotiate, and manage contracts with external vendors and service providers
    2. Monitor vendor performance to ensure service levels meet organizational standards
  5. Space Allocation and Management
    1. Plan and coordinate office space utilization and layout changes to maximize efficiency
    2. Manage space allocation for departments and employees, ensuring adequate storage facilities
  6. Emergency Preparedness and Response
    1. Develop and implement emergency preparedness and response plans, ensuring business continuity
    2. Coordinate responses to facility-related emergencies and incidents, ensuring timely and effective resolution
  7. Sustainability Initiatives
    1. Promote and implement energy-efficient practices and sustainability initiatives, minimizing environmental impact
    2. Monitor and report on energy consumption and waste management, driving continuous improvement
  8. Staff Supervision and Development
    1. Supervise and train facilities staff and contractors, fostering a culture of excellence and accountability
    2. Conduct performance evaluations and address any staff issues, ensuring optimal team performance
  9. Customer Service and Support
    1. Serve as the primary point of contact for internal and external facility-related inquiries, providing prompt and courteous assistance
    2. Address and resolve facility-related issues and complaints, escalating concerns as necessary
  10. Administrative Duties
    1. Maintain accurate records of maintenance activities, repairs, and inventory, ensuring transparency and accountability
    2. Prepare reports and documentation as required, supporting informed decision-making
