Job Title: Vocational Education and Training Administrator

Job Description

The successful applicant will be responsible for assisting with the administration of vocational education and training (VET) programs at our school. This will include providing information to students, parents and staff, and ensuring that all necessary documentation is completed and up-to-date.

The role will also involve working closely with teachers, careers practitioners and other school staff to ensure that students receive the best possible support and guidance throughout their VET journey.

VET Administration Responsibilities:

  • Liaising with Applied Learning Leaders regarding internal VET options for the forthcoming year.
  • Assisting with the administration process when establishing VET programs delivered on campus.
  • Creating VET promotional material for Course Information Nights and Course Selection periods.
  • Assisting with the enrolment process of students undertaking VET internally and externally.
  • Creating VET Tuition Fees and Materials Charges spreadsheets based on RTO information.
  • Liaising with Business Managers regarding VET costs.
  • Creating RTO Purchasing Contracts, Purchase Orders and maintaining records of invoices and payments made.
  • Assisting students at risk of non-completion, including liaising with Year Level Coordinators.
  • Liaising with General Offices, Program Leaders and Timetables to ensure the accuracy of VET enrolments and class lists for VET classes and qualifications.
  • Organising FMPLLEN VET student surveys to ascertain levels of satisfaction with courses.
  • Attending PVET Network Meetings with FMPLLEN.
  • Maintaining VET information on Careers pages.
  • Communicating with the School Community regarding VET via Compass Newsfeeds.
  • Monitoring and acting on VET attendance.
  • Providing VET reports and VET attendance updates to students and parents/guardians at the end of Term 2 and Term 4.
  • Gathering data to inform decisions about future VET programs.
  • Providing regular feedback to relevant staff on the progress of individual students.
  • Assisting with the presentation of VET information at year-level assemblies, information evenings etc.
  • Engaging with Head Start programs to support students' access to appropriate apprenticeships and traineeship pathway opportunities.
  • Assisting Career Practitioners as required for Careers-related events/duties.
Required Skills and Qualifications

The successful applicant will possess excellent communication and organisational skills, with the ability to work independently and as part of a team. They will have experience in VET administration and be familiar with CASES21, Word, Excel, Powerpoint and other software packages used in the VET sector.

A proven track record of providing high-quality administrative support and strong problem-solving skills are essential. The ability to maintain confidentiality and handle sensitive information with discretion is also required.
