Job SummaryWe are seeking an experienced and skilled Administration Assistant to join our team at our Malaga Operations. As an Administration Assistant, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our business, and contributing to our goal of becoming the brand of choice for sustainable energy solutions.
Key Responsibilities- Liaise with customers and plumbers to ensure equipment supply and job requirements are met;
- Answer phones and handle queries in a professional and courteous manner;
- Generate sales orders and convert them into invoices;
- Prepare job folders and ensure all relevant documentation is accurate and uploaded to relevant systems;
- Raise and receipt purchase orders;
- Process credit card payments over the phone;
- Manage warranty claims and ensure all relevant documentation is complete and accurate;
- Ensure customer accounts are up-to-date and follow up on outstanding balances;
- Perform other administrative duties as required.
- Minimum 5 years' experience in a similar role;
- Advanced MS Office skills, including Word and Excel;
- Strong attention to detail and ability to work under pressure;
- Self-motivated and able to work with minimum direction and supervision;
- Professional, mature, and friendly approach;
- Ability to effectively prioritise conflicting tasks and communicate concisely and effectively;
- Demonstrated experience in the use of ERP systems (MYOB EXO preferred);
- Driver's licence;
- Current police clearance or ability to provide one within one month of commencing employment;
- Australian citizenship or legal, valid right to work in Australia.
