Medical Office Coordinator

We are seeking a highly organized and professional Medical Office Coordinator to join our team at Macarthur General Practice. As a key member of our administration team, you will be responsible for providing exceptional patient care and administrative support to our doctors and staff.
Key Responsibilities- Reception Duties:
- Open and close the practice as per set procedures.
- Greet patients and other visitors in a courteous and efficient manner.
- Answer the telephone in a professional manner.
- Schedule appointments for patients following set procedures.
- Bill patients appropriately and issue invoices/receipts.
- Enter and update patient registrations in the computer system.
- Liaise with referring doctors, hospital staff, and other healthcare professionals as required.
- Deal with emergencies when required, following set procedures.
- Assist clinical staff with administration tasks as needed.
- Manage internal emails and check the waiting room for tidiness.
- Administration Duties:
- Recall patients as directed by clinical staff.
- Prepare outgoing mail and open/distribute incoming mail.
- Type medical reports/documents with high accuracy as required.
- Organize meetings and monitor scheduling.
- Scan and/or file patient correspondence, results, and Medicare claims.
- Balance daily receipts and ensure banking is processed.
- Ensure all forms, stationery, and information sheets are stocked.
- Essential Criteria:
- Demonstrate a high level of professionalism and confidentiality.
- Exhibit excellent communication skills, both written and verbal.
- Show ability to work independently and as part of a team.
- Communicate effectively with diverse individuals.
- Hold CPR training or be willing to undergo same.
- Demonstrate organizational skills with the ability to prioritize tasks.
- Desired Criteria:
- Previous experience in a medical reception or similar administrative role.
- Experience with Medical Director and Pracsoft software.
- Understanding of the Medicare Benefits Schedule.
- Demonstrate a patient/customer-focused approach in service provision.
- Safety and Quality Management:
- Participate in practice risk management and quality improvement processes.
- Participate in general practice accreditation processes.
- Attend staff meetings and educational activities as required.
- Recognize and work within own level of competence.
- Maintain accurate, contemporaneous, and complete patient records.
- Monitor work areas for safety and compliance with health, safety, and security legislation.
- Exercise confidentiality regarding patient care and practice operations.
