Document Management Specialist

We are seeking a skilled Document Management Specialist to coordinate and manage the project's document management system.

This role involves ensuring accurate uploading, logging, filing, and distribution of project-related documentation in a timely and efficient manner.

The successful candidate will receive, record, and issue controlled project documents while ensuring they comply with company, client, and regulatory standards.

Liaison with stakeholders is crucial to ensure project deliverables meet high standards of accuracy and professionalism.

Additionally, this position entails managing and expediting supplier deliverables and documentation while ensuring contractual requirements are met.

Collaboration within the project and document control team is essential for success.

Key Responsibilities
  • Coordinate and manage the project's document management system.
  • Ensure accurate uploading, logging, filing, and distribution of project-related documentation.
  • Receive, record, and issue controlled project documents in a timely and accurate manner.
  • Ensure controlled documents comply with company, client, and regulatory standards.
  • Liaise with stakeholders to ensure project deliverables meet high standards of accuracy and professionalism.
  • Manage and expedite supplier deliverables and documentation while ensuring contractual requirements are met.
Required Expertise
  • Experience in EPCM environments with vendor data processing or design engineering processing.
  • Previous experience in document control is essential.
  • Basic knowledge of database management systems, Aconex, QDMS, or ProjectWise.
  • Familiarity with managing vendor data.
  • High attention to detail and problem-solving skills.
  • Proven time management and organisational skills.
