Job Description for Administrative Operations Coordinator

We are seeking an experienced Administrative Operations Coordinator to join our team at Programmed.

Key Responsibilities:

  • Maintain a well-organized and efficient work environment by overseeing and managing day-to-day office operations.
  • Manage office supplies, equipment, and inventory to ensure all resources are available and properly maintained.
  • Update and maintain documents, including personnel records and leave tracking.
  • Coordinate meetings, conferences, and company events to ensure smooth logistics and effective communication.
  • Assist in the onboarding process for new employees and provide support with HR-related tasks.
  • Manage relationships with vendors and service providers to ensure seamless operations.
  • Support financial operations, including budget tracking, expense reports, and invoicing.
  • E nsure compliance with company policies, health and safety regulations, and office protocols.
  • Act as the primary point of contact for internal and external communications.

Requirements:

  • Proven experience as an Office Admin or in a similar administrative role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
  • Ability to work independently and manage time effectively.
  • Problem-solving mindset and ability to handle unexpected challenges.
  • Basic knowledge of HR and financial management is a plus.
