About the Role

The role of an Administration Officer is to provide administrative support to the school's financial activities. This includes assisting in the development and delivery of systems and processes that contribute to the achievement and enhancement of outcomes through improved financial and resource management.

Key responsibilities include:

  • Performing day-to-day management of the school's financial activities, including identifying problems, negotiating with program managers, conducting research, seeking advice, and recommending solutions;
  • Identifying alternative options for managing the school/college financial resources and assisting the Business Manager to determine appropriate courses of action;
  • Undertaking and processing allocated work in accordance with legislative, policy, and procedural requirements;
  • Providing a range of financial administrative activities and operations, including the provision of data entry, maintaining financial registers, and providing computing and clerical support for the effective operations of the office;
  • Ensuring that all accounts are paid and recovered in a timely and accurate manner and providing advice on financial matters;
  • Processing invoices, purchase orders, corporate cards, and charge accounts into the OneSchool system in an accurate and timely manner;
  • Assisting with regular budget reviews and providing program managers with budget and purchasing information;
  • Performing reconciliations of school Corporate Cards, Bank reconciliations, and monthly Business Activity Statements;

Previous experience working in OneSchool finance is highly regarded and will ensure your ability to seamlessly transition into this role. The successful candidate will be working alongside the Business Manager and AO2 Finance Administration Officer and have the flexibility to work both autonomously and as part of a small, friendly, outcome-focused team.

  • Excellent problem-solving and analytical skills, with the ability to identify and resolve complex issues;
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines;
  • A high level of accuracy and attention to detail, with the ability to maintain high-quality records and documentation;
  • Experience working with financial software and systems, including OneSchool; and
  • Previous experience in a similar role or relevant industry experience.
