About This Opportunity

This is an exciting opportunity to join our team as a Senior Administrative Coordinator. As a key member of our team, you will provide administrative support to the Head of Australia, GIDS, ensuring efficient management of daily operations.

You will have the opportunity to work with a talented team of professionals and contribute to the success of our organisation.

The ideal candidate will have experience in an Executive Assistant or Personal Assistant role and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, and expense management systems.

You will be responsible for managing complex calendars, coordinating scheduling, and arranging meetings across multiple time zones. You will also organise domestic and international travel, including flights, accommodation, transfers, and visas.

You will process and manage expense reports, ensuring timely and accurate submissions. You will plan and execute events such as offsites, social/charity initiatives, and Town Halls.

You will book and set up meeting rooms, including catering arrangements when required. You will maintain and manage files and email distribution lists, including tracking office attendance approvals.

You will enter and approve timesheets and oversee delegated tasks in Workday and ServiceNow.

  • Experience in an Executive Assistant, Personal Assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, and expense management systems.
  • Excellent written and verbal communication skills.
  • Strong ability to prioritise, multitask, and meet tight deadlines.
  • Ability to handle sensitive information with professionalism and discretion.
  • Proactive mindset with a solution-oriented approach.
  • Strong interpersonal skills to engage with senior executives, clients, and team members.
