Position Summary:
As a Receptionist Trainee at Apprenticeship Central, you will be the first point of contact for our clients, visitors, and employees. You will play a crucial role in creating a positive first impression and providing outstanding customer service. Your responsibilities will include managing the reception area, handling incoming inquiries, and supporting administrative tasks.
Duties and Responsibilities:
- Front Desk Management:
- Greet and welcome visitors with a friendly and professional demeanor.
- Manage the reception area, ensuring it is clean and organized.
- Phone Management:
- Answer and direct incoming inquiries to the appropriate staff members.
- Take accurate messages and deliver them promptly.
- Visitor Assistance:
- Assist visitors with sign-in procedures.
- Notify employees of visitor arrivals and guide them to meeting rooms.
- Mail and Package Handling:
- Sort and distribute incoming mail, packages, and deliveries.
- Prepare outgoing mail and packages for courier services.
- Scheduling and Appointments:
- Manage meeting room reservations and scheduling.
- Assist in coordinating appointments and meeting arrangements.
- Administrative Support:
- Provide general administrative support to various departments.
- Assist with data entry, document filing, and other office tasks as needed.
- Ensure office facilities are kept clean.
- Security Awareness:
- Ensure the security of the premises by monitoring access and visitor activity.
- Follow security and safety procedures, including emergency response protocols.
- Office Supplies and Inventory:
- Maintain office supplies and equipment, placing orders as necessary.
- Keep inventory of office supplies and notify the appropriate personnel when replenishment is needed.
- Communication:
- Relay important information to staff members and assist with internal communication as directed.
- Customer Service:
- Demonstrate exceptional customer service skills when interacting with clients, visitors, and employees.
- Address inquiries and provide information about the company and its services.
Essential Requirements:
- High school diploma or equivalent (Year 12).
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Professional and pleasant demeanor.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize tasks efficiently.
- C Class Drivers Licence (Red or Green Provisional acceptable).
Conditions:
- The position is based at the company's office and involves working at the front desk and using standard office equipment.
- Occasional overtime or extended hours may be required.
