Key Responsibilities :

  • Provide administrative support to the team, ensuring smooth communication and efficient coordination between clients and financial planners.
  • Assist with calendar and diary management, general reception duties, and client welcome and attendance.
  • Answer and direct incoming phone calls to relevant team members, manage the company's email inbox, and direct inquiries and correspondence to the relevant team members.
  • Handle mail and deliveries, including the distribution of income correspondence and outbound postage.
  • General administration and assistance for team members during client appointments, including scanning and filing of documents.
  • Maintain a clean professional office environment.
  • Prepare and print physical files for client appointments.
  • Provide general information and assistance for clients/visitors.
  • General office management, including stationery and office supply management, corresponding with landlord and other third parties in the maintenance of the office.
  • Support client services managers and other team members in other clerical duties where required, as well as back up for when team members are on leave.
  • Assist in travel and accommodation arrangements, as well as catering for business functions.
