We are seeking a proactive and highly organized administrative professional with excellent communication skills in both Japanese and English to facilitate effective collaboration between our international teams and clients.
Key Responsibilities:
- Assist Managing Directors across multiple time zones, ensuring seamless communication and coordination.
- Manage and control annual and mid-term budgets by providing regular progress reports and analysis.
- Collect accurate data, make necessary corrections to ensure data integrity, and maintain up-to-date records.
- Prepare comprehensive reports for internal business meetings, highlighting key trends and insights.
- Maintain accurate documentation related to food trading transactions, contracts, shipments, and financial data.
- Provide exceptional customer support to clients, partners, and vendors, addressing inquiries and resolving issues efficiently.
- Coordinate virtual and in-person meetings, prepare meeting agendas, and take minutes.
- Assist in basic financial tasks such as invoice processing, expense tracking, and budget monitoring.
- Provide administrative support for various projects, ensuring tasks are coordinated and progress is tracked effectively.
Requirements:
- Business-level proficiency in both Japanese and English languages.
- 3 years of business experience, preferably in operations or administration.
- Advanced skills and in-depth knowledge of MS Office, with specialization in MOS Excel.
- Strong team player capable of interacting with individuals at all levels of the organization.
- Excellent communication, influencing, presentation, time management, and organizational skills.
