The Job Opportunity

Early Childhood and Youth Group supports participation in work, training, study or volunteering. We aim to provide access to quality early childhood education and care services for vulnerable children.

We are seeking an APS4 Executive Assistant to join the Child Care Division and Early Learning, Programs and Youth Division.

Your primary role will be to provide high-level administrative support ensuring efficient day-to-day operation of the branch. You will exercise strong communication skills, initiative, discretion, and confidentiality.

A merit pool will be established to fill similar roles across the department over a 12-month period.

Duties and Responsibilities
  • Organize and manage meetings and forums, liaising with stakeholders and government agencies.
  • Manage documents for senior staff, tracking and clearance procedures in a timely manner.
  • Work with division staff to ensure correspondence is managed appropriately, meeting deadlines.
  • Coordinate office workflow and undertake complex administration tasks.
  • Support fellow Division EAs to streamline processes and improve productivity.
  • Assist with procurement activities and payment of invoices as directed.
  • Manage record keeping in accordance with departmental processes.
  • Coordinate and track tasks, correspondence, and Parliamentary briefings.
  • Manage the Branch's leave calendar, organizational chart, phone list, etc.

  • Strong communication and interpersonal skills are essential.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality when handling sensitive information.
