Job Description

This role is primarily responsible for delivering effective administrative support services to the team and wider region when required.

Responsibilities include:

  • Providing high level administration support to a variety of leaders and teams
  • Greeting visitors, answering incoming phone calls and managing the general office inbox
  • Supporting project managers with tasks including collation of proposals, bids, and tender submissions, documentation and system updates
  • Assisting with fleet management (i.e. freight/logistics of equipment to interstate offices and sites) or arranging hire of equipment where required
  • Coordinating meetings, workshops and events, booking travel and accommodation where necessary
  • Coordinating freight of equipment to interstate offices and sites; or arranging hire of equipment when required
  • Processing quotes, purchase orders, supplier invoices, expenses and credit card transactions in the ERP system
  • Maintaining accurate records, databases, and registers, ensuring confidentiality and compliance with governance requirements
  • Assisting with onboarding and induction of new employees, and providing general HR/office support
  • Contributing to continuous improvement of administrative systems and workflows
  • Supporting special projects by organizing and coordinating information and requirements
  • Undertaking ad hoc administrative tasks and projects as directed to support business priorities
  • Maintaining office housekeeping, facilities, and supplies to ensure a safe and efficient workplace
Requirements

To be successful in this role you will possess the following skills and experience:

  • At least 2 years of administration experience
  • Experience with financial/accounting systems and methodology would be desirable (i.e. invoicing, job costing, procurement)
  • Excellent communication skills - written and verbal with the ability to develop relationships with key stakeholders internally and externally
  • Proven ability to manage competing priorities, handle high volumes of documentation, and maintain attention to detail
  • A proactive and collaborative approach, with a willingness to support colleagues and contribute to team success
  • Commitment to maintaining confidentiality, accuracy, and professional record-keeping
  • An interest in continuous learning and professional development
