Job Title: Visa Application Coordinator

About the Role:

We are seeking a detail-oriented and client-focused individual to join our team as a Visa Application Coordinator. As a key member of our team, you will be responsible for supporting and managing the student visa application process from start to finish.

Key Responsibilities:

  • Assist students with preparing and submitting visa applications, ensuring compliance with immigration requirements.
  • Provide accurate, up-to-date information and guidance on visa processes, checklists, and timelines.
  • Collect, verify, and organize all supporting documents required for visa applications.
  • Communicate with clients via email, phone, and in-person meetings to address questions and provide updates.
  • Liaise with educational institutions, immigration authorities, and other stakeholders as needed.
  • Track application progress and follow up on pending or missing documentation.
  • Maintain and update client records, case notes, and files in a confidential and organized manner.
  • Perform general administrative duties, including data entry, document preparation, filing, and invoicing.
  • Monitor changes in visa regulations and update the internal team accordingly.
  • Contribute to process improvements and uphold company standards for efficiency and professionalism.

Requirements:

  • Prior experience in visa services, administration, or customer service is preferred but not essential.
  • Strong attention to detail with excellent organizational and time-management skills.
  • Good understanding of visa application processes (training can be provided).
  • Effective communication skills – both written and verbal.
  • Ability to manage multiple tasks and deadlines efficiently.
  • Proficient in Microsoft Office and document management systems.
  • Strong customer service orientation with a positive and professional attitude.
  • Ability to handle sensitive information with discretion and confidentiality.
