Facilities Liaison Specialist

This role is a critical component of our Supply Chain business, focusing on the approval process for third-party works near our pipelines. As the Property Liaison Officer, you will be responsible for ensuring compliance with company standards and regulatory requirements while promoting seamless communication between external stakeholders and internal technical teams.
Based at our bulk fuel storage facility in Newport, Victoria, as the primary liaison, you will act as the main point of contact between external stakeholders and internal teams, including Legal and Operations. Your key responsibilities will include facilitating and guiding external parties through Viva's approval processes, even when facing evolving project needs or challenges.
Main Responsibilities
- Process Management: Track and manage multiple approval requests, ensuring timely reviews and responses while maintaining detailed and organized records of all approvals and project statuses.
- Collaboration: Work closely with internal teams to support well-informed decision-making, ensuring projects align with company policies, regulations, and safety standards.
- Expectation Management: Effectively manage stakeholder expectations, balancing regulatory requirements with project needs while fostering positive relationships.
- Documentation: Maintain accurate records and approval documentation that are easily accessible for audits and review purposes.
