Job Overview

The Facilities Support Specialist is a key member of the facilities management team, responsible for ensuring the smooth daily operation of client facilities. This role involves working closely with senior facilities managers to deliver exceptional service that enhances workplace experiences.

Key Responsibilities:
  • Coordinate maintenance activities, address occupant requests, and monitor service delivery.
  • Assist with vendor management, including scheduling services, reviewing work quality, and processing invoices.
  • Conduct regular building inspections to identify and address potential issues before they impact operations.
  • Maintain accurate facilities documentation, including floor plans, equipment inventories, and maintenance records.
  • Support operational efficiency by tracking expenses, gathering quotes, and identifying cost-saving opportunities.
  • Implement health and safety procedures to ensure compliance with regulations and standards.
  • Participate in facilities-related projects such as space modifications, equipment upgrades, or sustainability initiatives.
Requirements:
  • 1-3 years of experience in facilities management or a related field.
  • Working knowledge of building systems and maintenance practices.
  • Proficiency with Microsoft Office Suite and facility management software.
  • Strong organizational and time management skills.
  • Excellent communication abilities with both technical and non-technical stakeholders.
  • Customer service mindset with attention to detail.
Preferred Qualifications:
  • Experience with CAFM/CMMS systems and work order management.
  • Knowledge of health and safety regulations relevant to building operations.
  • Experience coordinating with vendors and service providers.
  • Background in customer service or client relationship management.
