ERP Implementation Coordinator/IT Infra Job Description

This role involves process mapping before and after the ERP implementation, capturing all notes and actions from each implementation step, managing the action plan with the NetSuite team to resolve any issues, and managing the cutover plan for go live.

Key Responsibilities:

  • NetSuite Change Management:
    • Helping teams understand the impact of the ERP migration
    • Carry out gap analysis between existing processes and future processes defined in NetSuite
    • Define the impact on associated tasks using future processes
  • Implementation of PMO Principles:
    • Designing and implementing PMO standards and methods to ensure project management in a professional and structured manner
    • Ongoing communication on project progress (internal newsletter)
    • Identifying training needs (Key Users and others)
    • Managing risks involved in the project (operational and human) - Risk analysis
    • Analysis and follow-up of corrective actions
    • Stakeholder management - communicating with managers who are not directly in the NetSuite project team on organisational and system changes
  • NetSuite Ongoing Project Coordination Tasks:
    • Coordinate master data preparation and clean up from old system to new
    • Review of Business Requirements Document with onsite team and communicate comments to HQ
    • Organise regular WMS specific meetings and workshops on site
    • IT tasks: supplier project meetings for all interfaces
    • IT purchases: scoping and buying hardware for WMS set up
    • IT manages specific roles and rules with HQ/PepsiCo
    • B2B portal build - supplier project meetings to build new B2B site for direct sales and all pick up requests for cylinder returns
    • Run a weekly on-site project team meeting for updates
    • Weekly meetings with NetSuite central team to track action progress and issue resolution
    • Specific meetings with NetSuite consultants with relevant site team members
    • Testing and validation in sandbox of market specific developments
    • Validation (and corrections) of uploads of master data in production environment

Qualifications:

  • Previous experience in NetSuite implementation is highly desirable
  • Excellent written and verbal communication skills
  • Strong administration skills and ability to follow strict onsite processes, instructions, and procedures
  • Intermediate computer hardware and software installation skills
  • Knowledge of the distribution and disposal of classified data/documents/devices
  • Change management and user adoption experience, including training and e-learning design
  • Proficiency in system administration and desktop application support within a Windows environment
  • Relevant Information Technology qualifications or experience

This job requires strong technical and administrative skills, excellent communication abilities, and previous experience in NetSuite implementation. The successful candidate will be responsible for various aspects of the ERP implementation, including process mapping, change management, and project coordination.

The ideal candidate should possess strong problem-solving skills, attention to detail, and ability to work effectively in a team environment.
