- Provide confidential and timely administrative assistance, including preparing reports, submissions, spreadsheets, flowcharts, presentations, and maintaining calendars, schedules, and tracking tools.
- Deliver investigative, research, and analytical support, including process development, reporting for business systems, and conducting research on corporate governance practices, technology, and procedures.
- Liaise between the Company Secretariat office, board, executives, business units, and service providers to ensure seamless operations.
- Ensure compliance with the Corporations Act, ASX Listing Rules, and other relevant legislation for an ASX-listed entity and its subsidiaries.
- Manage diary coordination, organising board and executive meetings, conferences, site visits, booking travel, and managing enquiries.
- Coordinate and prepare Board and Executive Committee meeting agendas, submissions, presentations, and action registers.
- Assist with reviewing and drafting Board charters and policies maintained by the Company Secretariat office.
- Provide administrative support for meetings and conferences, including note-taking, preparing minutes, and ensuring technology services are efficiently provided.
- Exceptional attention to detail, organisational and time management skills, with the ability to handle confidential matters and work under pressure to meet tight deadlines.
- Outstanding written, verbal, and interpersonal communication skills, including stakeholder management, negotiation, and conflict resolution.
- Strong project management, problem-solving, analytical, research, and decision-making skills.
- Proficient in IT applications such as Microsoft Office, SAP, and board portals.
- Ability to work independently and as part of a collaborative team.
- High ethical standards, integrity, and a commitment to professionalism in all business dealings.
- Strong knowledge of standard procedures and protocols for Board, Executive, and shareholder meetings.
