Job Overview:

We are seeking an experienced Fleet Coordinator to join our team. This role involves assisting branches in the maintenance, authorization, and control of fleet assets.

  • Manage vendor relationships with dealerships and suppliers.
  • Handle all traffic citations, accidents, policies for fleet units, fuel cards, and reports.
  • Verify fleet invoice billing accuracy and collaborate with the accounting department on payments.
  • Prepare Purchase Orders for authorization and payment.

Key Responsibilities:

  • Develop strong relationships with key vendors in both Australia and New Zealand.
  • Maintain accurate records of current vehicles, including driver details, registration, and recorded kilometers.
  • Collaborate with branches on repairs and maintenance of existing vehicles.
  • Recommend disposal of vehicles when they become uneconomical, including developing a standard lifecycle for the fleet.
  • Maintain positive branch relations.
  • Process registrations, road user charges, fuel cards, tolls, and fines.
  • Ensure quality control of delivered vehicles and follow up with suppliers when issues arise.
  • Provide monthly reporting on fleet running costs.
  • Perform other duties as assigned by management.

Requirements:

  • A motivated individual who can work independently as well as part of a team.
  • Experience with logistics/fleet management systems would be advantageous.
  • High attention to detail and a high level of accuracy.
  • Some post-secondary education in business administration is desirable but not required.
  • Problem-solving skills; ability to assess situations, evaluate options, and select the best solution.
  • Good working knowledge of MS Office, including Excel pivot tables, vlookup, and Power BI.
  • Valid driver's license and clean driver's abstract are required.
  • Excellent interpersonal skills; strong written and verbal communication skills.
